  1. I need to reserve a location for a meeting – what do I do?

 1. I need to reserve a location for a meeting – what do I do?
 A1. The answers depend on the use of the requested location. The most common are outlined below:

Faculty requests for a new classroom for an academic class; or a special meeting for an academic class:
This request would go through the department scheduler who sends the request to academic_scheduling@csueastbay.edu. The procedures are outlined in the Academic Scheduling section of this website.

Faculty requests for regular class meetings in a computer lab:
This needs to be requested when the quarterly class schedule is being built – about 2 months prior to the beginnig of a new term. This request would go through the department scheduler who sends the request to academic_scheduling@csueastbay.edu.


For the following needs, please ask the Department Scheduler to submit a request via 25Live, or submit the CSUEB Affiliate Request Form.

  1. Faculty requests for ad hoc class meetings in a computer lab
  2. Department meetings in either conference rooms or classrooms
  3. Department meeting or training in computer labs
  4. Any use of an outdoor location including Athletic facilities
  5. Student organization requests for location: The location request must begin with the Office of Student Life and Leadership.
  6. Request for a location in the University Union, or Housing and Residential Life

Community member or organizations requesting to rent a location:
Community groups are welcome to rent facilities at the CSUEB campus. Submit the Non-CSUEB Affiliate Request Form. Contact the Reservations and Rentals Coordinator for guidance and answers to questions. Email is the most efficient method: cecilia.grima@csueastbay.edu

2. I am planning a conference or event and will need some technology services.
A2. Begin your process with a request via 25Live, or submit the CSUEB Affiliate Request Form. Once your location is confirmed submit a Service Desk request for services.

3. I am planning a conference or event and will need some technology services – we will be using our own conference room.
A3. There are only select locations on campus that do not need to be scheduled through the Office of University Scheduling. They are:

  • President’s conference room
  • Provost’s conference room
  • A college conference room – CSCI, CEAS, CLASS, CBE
  • MATS - Media and Technology Services conference rooms  - LI

If your event is being held in any of these locations, you can request technology services through the Service Desk.

5. There are not enough chairs/desks in the room I am using.
A5. Submit a Facilities Management work order. If this is an academic class please report to your department scheduler who can submit the work order.

6. The posted room capacity is different than what I was told is my enrollment capacity.
A6. The official capacity for all instructional location at CSUEB is the capacity posted on the MyCSUEB online schedule of classes. Facilities Management is aware of the issue of posted signs in the rooms. You can submit a work order to report the discrepancy.

A7. Submit a Facilities Management work order. If this is an academic class please report to your department scheduler who can submit the work order.

A8. Submit the submit a request via 25Live, or submit the CSUEB Affiliate or Non-Affiliate Request Form.

9. I am an employee at CSUEB and want to use a location on campus for a personal event – ie, party, wedding, concert, etc.
A9. Submit the Non-CSUEB Affiliate Request Form. Unfortunately, there are no employee discounts for the use of locations on the CSUEB property.

A12. Submit the submit a request via 25Live, or submit the CSUEB Affiliate Request Form. Also visit the Reservations nd Rentals References page for more detailed information.

13. I am a student and want to reserve a location for a group event?
A13. If you belong to a certified student organization, you will need to begin your process with the office of Student Life and Leadership. If the group event is directly associtaed with an academic class, then you can talk with your professor about planning the event.

14. I am a member of a community organization and want to reserve a location for a group event?
A14. Community groups are welcome to rent facilities on the CSUEB campus. Submit the Non-CSUEB Affiliate Request Form. Contact the Facilities Reservations and Rentals Coordinator for guidance and answers to questions. Email is the most efficient method: cecilia.grima@csueastbay.edu
