Process Rapid Time

Overview

This document provides the quick steps on how to do Process Rapid Time for shift time and over time.

Enter Rapid Time

  1. Navigate to Time & Labor > Report Time > Rapid Time
  2. Click "Add a New Session" and populate the per below
    • Template Type = Elapsed
    • Description = Rapid
    • Rapid Time Template = CSU_RAPID
    • Add/Replace = select Add if you are adding new hours or select Replace if you are replacing previously entered hours.
  3. Enter Employee ID, Empl Rcd Nbr, Date, TRC (Time Reporting Code), and Quantity of hours
    • Note: There is no control on the TRC field and any value willl be accepted so make sure you enter the correct TRC.
    • If there is an Override hourly rate, then enter it otherwise leave it blank.
  4. Enter an override rate if necessary. This should only be used in circumstances where you need to pay the employee an hourly amount different from their regular rate.
  5. Click "Add Row(s)" to add more rows for additional data entry
    • Note: The Add row behavior is controlled by the values in the gray boxes left of the Add Row(s) button.
  6. When all time has been entered, click "Save" to save the session for further use later
  7. OR
  8. Click "Submit" to submit the time for processing. You will get a "warning message" and will see that a session number is now assigned to the session. A "Process Monitor" link will now appear on the top right
    • Note: Time Administration process will not pick up the time until it has been submitted.
  9. Click "Process Monitor" and wait until the job runs to "Success-Posted"

Run Time Administration

  1. Navigate to Time & Labor > Process Time > Request Time Administration > Search and select your Run Control ID and populate the fields per below
    • Process Date = Pay Period End Date
    • Enter all the EmplID and Empl Rcd Nbr for all the employees from your Rapid Time session
    • Click Run and make sure the Server is selected. Then click OK. Click Process Monitor and wait until the job runs to Success-Posted.

Check and Clear Exceptions

  1. Navigate to Time & Lavor > View Exceptions and Attendance > Exceptions > Use the search criteria to search for any employees from your Rapid Time session who might have any exceptions
    • Validate and allow the exception
    • Note: If no exceptions were created for your employees, skip to Approve Time section. However, if your employees had exceptions which you cleared, the Time Administratioin process must be ran again to reprocess the time and make it ready for approval.

Run Time Administration

  1. Navigate to Time & Labor > Process Time > Request Time Administration > Search and select your Run Control ID and populate the fields per below
    • Process Date = Pay Period End Date
    • Enter all the EmplID and Empl Rcd Nbr whose exceptions you cleared.
    • Click Run and make sure the Server is selected. Then Click OK. Click Process Monitor and wait until the job runs to Success-Posted.

Approve Time

  1. Navigate to Time & Labor > Approve Time > Payable Time > Use the search criteria to search for emplyees from your Rapid Time session who needs time approval
    • Approve Time
  2. The approved time will be picked up by the PIP process to be electronically transmitted to the SCO Office
