Mailroom Information

Residents will be issued a mailbox number and a combination. This mailbox will be your mailing address for your entire stay in Pioneer Heights. If you change apartments during the year, or from year to year, this mailbox never changes. You will receive your mailbox number and combination after you officially move into your Residence Hall. Your new mailing address will include the mailbox number and all future mail should be addressed as follows:

**Please note that, at the mailing address above, the “Box” number is your mailbox number and NOT your room or apartment number!**

Mailbox information will be sent to you via your horizon email address 7-10 business days after you officially check in. Your mailbox number will be yours for your entire stay while you are with us in Pioneer Heights

Please do not mail items to Pioneer Heights prior to move in. Due to the amount of mail we receive on a daily basis, we are unable to hold packages for future residents. The mailroom will be open during the move-in weekend.

The El Dorado Mailroom serves as an extension of the United States Postal Service and follows their policies. The mailroom is not able to provide all of the services of USPS.

It is a federal offense to tamper with another person’s mail.

Receiving Mail

Letters: Will be placed in students’ assigned mailbox unless otherwise communicated with students.

CSUEB Official Documents: During peak times we might email students to pick up parking permits/financial aid checks

Delays in Receiving Mail

If letters and packages are misaddressed, it will cause a delay in delivery and it may be sent back. If the package contains the wrong name or nicknames, it will be sent back. If a package has not been picked up after 30 days, it will be sent back. If a student does not live on campus and receives mail, it will be sent back.

Packages: Once packages arrive via their designated carrier our Student staff will log the package into our system and students will be notified via email to pick up their package

Students should await the email from the mailroom before going to the mailroom to retrieve their packages. If a student receives a “Confirmation of Delivery” from their Carrier and still hasn’t received an email from the mailroom to pick up their package; please allow at least 48 hours. Please go to the mailroom with tracking information from the Carrier so that we can check our records.

Perishable Items: If a student is expecting to receive food items into the mailroom, please provide the following ahead of delivery to housing@csueastbay.edu:

Sending Out Mail: Students can send out stamped envelopes that already include the applicable postage. Please complete and submit a “Mailbox Issue form” and select section 2 for “Wanting to send outgoing mail”. Attach the form to the stamped mail piece and give to the student mailroom staff or drop in the drop box in the mailroom after hours.

Sending Out Packages: We will only send out packages with Return Labels provided by the vendor. Please see the student mailroom staff for assistance.

Forwarding Mail: The student mailroom “does not” forward mail. If a student is preparing to move out of the Residence Halls it is their responsibility to go to the post office and submit a “Change of Address” form. If a student receives mail into the student mailroom and they do not live on campus, the mail will be returned to its’ original sender.

Missing Packages: If a student has a “Confirmation of Delivery” from their carrier (USPS, UPS, Amazon, etc.) and has not received an email to pick up their package from the mailroom please submit a “Missing Package Form” with as much information as possible. Please allow 48 hours for the Student Mailroom staff to provide an update of their findings.

Mailbox issues: If a student is having issues with opening their mailbox please complete and submit a “Mailbox Issues Form” and select the issue you are having in section 1. Give the completed form to the student mailroom assistant or after hours place in the drop box in the mailroom and allow 48 hours for the student mail staff to send you an email after the issue has been fixed or the mail staff will advise the student to put in a maintenance request.

Wrong Mail in Box: If mail is placed in your mailbox by mistake, please return it to the mailroom as soon as possible and fill out a “Mailbox Issue Form” Section 1 for Wrong Mail in Box. This helps with the training of new student staff and helps provide pertinent data to ensure efficiency and accuracy of our mail processes. It is a federal offense to tamper with another person’s mail.

Please review the California Code of Regulations – Title 5, Section 41301: Standards of Student Conduct (http://www.csueastbay.edu/students/campus-life/student-life/sdja/student-conduct.html)

“Student behavior that is not consistent with the Student Conduct Code” including, but not limited to “disorderly, lewd, indecent, or obscene behavior at a University related activity, or directed toward a member of the University Community” will be “addressed through an educational process that is designed to promote safety and good citizenship and, when necessary, and may impose appropriate consequences.”

Students who are found in violation of the Student Conduct Code will be documented and will face repercussions.

For University Village Residents

UV resident mailboxes are assigned a mailbox based on their room assignment.

When sending mail to University Village, please use the example below:

Letters and packages can be picked up from the El Dorado Mailroom during regular business hours (Monday – Saturday 10:00 am- 3:00 pm). Any mail that has not been picked up will be delivered directly to UV and will be available for pickup at the front desk of University Village with the RA on duty between 8 pm - 10 pm, Monday - Saturday, unless otherwise communicated to the student.

All residents within the same apartment will share the same mailbox.

If your roommate has not given permission to deliver their mail, please leave it in the mailbox. If you change rooms within University Village, you will be given a new mailbox key for your corresponding apartment. If you change rooms to Pioneer Heights, you will be given a new mailbox in Pioneer Heights.

Sending Mail

Any mail that is pre-paid is able to be dropped off at the mailroom for pickup.

Residents are able to purchase stamps through the Campus Bookstore, the mailroom “Does Not” carry stamps.
