Mid- Semester Inspections

University Housing and Residence Life (UHRL) will be conducting mid-semester inspections in suites/apartments to promote healthy living, safe conditions, and care for the facilities. Resident Assistants (RAs) will be entering your suite/apartment at two different times each semester to inspect and provide feedback and learning conversations to any area of concern.

If your suite/apartment fails the inspection, you will receive a notification on actions required and possible fees.

RAs will knock and key into your suite, apartment and bedroom. Appointments are not needed as RAs will enter the space without the need for you to be present. Mid-Semester Inspections can occur anytime
during the hours of 5 PM to 8 PM unless other arrangements have been made.

Timeline for Inspections

Note, inspections for your suite, apartment and bedroom will occur during the span of 2 weeks (first week inspections) and second week (re-inspections, if needed). Inspections will occur when your designated RA is on duty.

  • Inspections will occur Monday, March 4th to Friday, March 8th between 5PM and 8PM. Inspections will not be performed on the weekends.
  • You’ll receive an email before your inspection notifying you of the week your inspection will occur.
  • Re-inspections will occur Monday, March 11th to Friday, March 15th between 5PM and 8PM.
    • Re-inspection date is dependent on when your suite, apartment and bedroom was inspected.

Health, Safety, and UHRL Policies

RAs will be looking for the following around health, safety, and UHRL policy violations:

Cleanliness & Trash

  • Trash, recycling, and organics have been removed and taken to outside dumpsters.
  • Suites, apartments, and bedrooms are free of trash and clutter.
  • Counters are wiped down.
  • Sinks are wiped down and dishes are clean.
  • The shower/tubs are wiped down.
  • Floors are swept, vacuumed, and not cluttered.

Unsafe or Unhealthy Environment

  • Windows and doors are locked and closed.
  • Obstructions to emergency exits (doors, windows, hallways, pathways, etc.)
  • Smoke detectors and fire extinguishers.

UHRL Policy Violations

  • Alcohol in the suite, apartment, or bedroom where there are residents who are underage.
  • Marijuana or drug paraphernalia that are present in the space.
  • Indication of smoking done in the suite, apartment, or bedroom (residue, smell, or damage).
  • Residents occupying an unoccupied bed space (personal items are in the empty closet, desk, bed, etc.).
  • Unapproved animals in suites, apartments, or bedrooms.
  • UHRL furniture on the patio/balcony
    • Residents with alleged violations of UHRL policy will be documented. You are advised to review the UHRL Conduct Policies to ensure you understand the expectations. Non-permitted items need to be removed immediately.

Maintenance

  • Broken furniture (bed rails, ladders, drawers, chairs, desks, etc.)
  • Broken appliances/fixtures (toilet running, toilet paper holder broken, shower railing broken, leaky faucet a hole larger than a quarter, broken outlet covers, etc.)
  • Mildew in the shower room.
    • Maintenance requests will be reviewed to see if concerns have been submitted.

Occupancy

  • Ensuring that the residents are living in their assigned space...
  • Ensuring vacant bed spaces are clear, clean, and ready for new residents.

Additional Information

Violated UHRL Policies: If an RA finds a violation of the License Agreement or the UHRL policies, an Incident Report will be submitted. You will be contacted regarding the violation and conduct processes. Unapproved items in UHRL conduct violation must be removed immediately from UHRL premises.

Maintenance Issues: If an RA finds a broken appliance/fixture or other maintenance concerns, a maintenance request will be submitted on your behalf. Understand that facilities may enter your suite, apartment, or bedroom to complete the repair without further notice.

The RA will leave you a Mid-Semester Inspection Review sheet on your dining table for all roommates/suitemates to review. All residents of the suite/apartment will be held responsible for action-needed items and possible fees.

What Your Inspection Means

Your Apartment Passed!

Congratulations, no additional action is required.

Your Apartment Failed!

You may receive the opportunity to make improvements with a week's notice. More information will be emailed in regards to improvements and re-inspection timeline.

Preparation for Breaks (Spring Breaks)

Spring Break (Monday, April 1st to Sunday, April 7th)

You will be doing a self-inspection, ensuring that your space is good to go before you leave for any duration of the break.

If You Are Leaving for an Extended Time During Breaks:

  • Clean your suite, apartment, and bedroom before leaving.
    • Vacuuming, sweeping, and cleaning your floors/carpets.
    • Remove all perishable items from your kitchen/kitchenette, fridge, and other areas of your suite/apartment.
    • Empty your trash, recycle, and compost bins ($25 fee per bag of trash left).
  • Wash and put away all dirty dishes.
    • Clean and return the Pioneer Kitchen to-go container.
  • Ensure that furniture (beds, desks, dressers, etc.) is not blocking windows, doors, or hallways/pathways.
  • UHRL furniture and other items are not left outside on patios or balconies.
  • Close and lock all windows, doors, and sliding glass doors.
  • Turn off all lights (overhead, lamps, etc.)
  • Turn off your heating unit in your suite/apartment.
  • Unplug all electrical items, including alarm clocks and any other devices that may go off while you are away.
    • Other items can include: charging stations, hair dryers/straighteners, irons, gaming stations, tvs, etc.
  • Make sure that your water heater and furnace closet are empty and being used for storage (Residents living in Calaveras, Coloma, Sierra, and Sonora).
  • If you notice anything broken or not operating properly, please make a maintenance request in your Housing portal.
